Privacy Policy
Last updated: 1 September 2026
This policy explains what personal data ClearMetric collects when you visit this website or get in touch, why we collect it, and what rights you have over it. It's written in plain English rather than dense legal wording — if anything is unclear, use the contact details at the bottom of this page.
1. Who we are
ClearMetric ("we", "us", "our") is an independent Power BI and business intelligence consultancy operating in the UK. For the purposes of data protection law, ClearMetric is the data controller for the personal data described in this policy.
Contact details are available via the enquiry form on our contact page, or by writing to davidjohnson6781@gmail.com.
2. Information we collect
Information you give us directly
When you submit an enquiry through our contact form, we collect:
- Your name and company name
- Your email address, and phone number if you provide one
- Where your business data currently lives (an optional multiple-choice answer)
- Your approximate budget range (an optional multiple-choice answer)
- Any details you type describing what you'd like to improve
If your enquiry becomes a project, we'll also hold whatever further information is needed to deliver the work — for example, details agreed during scoping calls or shared as part of the engagement. That's covered separately by the terms of your engagement, not by this website policy.
Information collected automatically
Like most websites, our hosting provider automatically logs standard technical information for security and performance purposes — such as IP address, browser type, device type, and the pages requested. We don't use this data to identify individual visitors, and we don't combine it with enquiry form data.
3. Cookies
This website does not use analytics, advertising or tracking cookies. It does not set any cookies at all beyond what your browser stores locally for its own basic operation. If that changes in the future, this section will be updated to explain what's used and why, along with a way to manage your preferences.
4. Why we use your information, and our legal basis
- Responding to your enquiry — we use the details you submit to reply, discuss your requirements, and arrange a consultation. This is based on our legitimate interest in responding to enquiries from prospective clients, and, once a conversation begins, in taking steps toward a contract at your request.
- Delivering a project — if you engage ClearMetric, information is used to perform that contract.
- Legal and accounting obligations — some information may be kept to meet tax, accounting or legal record-keeping requirements.
We do not use your information for automated decision-making or profiling, and we do not use it for marketing unless you separately ask us to keep you updated — and even then, only until you tell us to stop.
5. Sharing your information
We don't sell your data, and we don't share it with third parties for their own marketing purposes. Information may be shared with trusted service providers who help run this website or process enquiries on our behalf, strictly to the extent needed to provide those services, and always under an obligation to keep it secure. Currently this includes our website hosting provider and FormSubmit.co, a third-party service that delivers contact form submissions to us by email.
We may also disclose information where required by law, or to protect the rights, property or safety of ClearMetric or others.
6. International transfers
Where a service provider we use stores or processes data outside the UK, we take reasonable steps to ensure it's protected to a standard consistent with UK data protection law — for example, through providers operating under adequacy decisions or standard contractual clauses.
7. How long we keep your information
Enquiry details are kept only for as long as needed to respond to you and follow up on the conversation, typically no more than 24 months if no project goes ahead. Information relating to an active or completed engagement is kept for as long as needed to deliver the work and meet legal or accounting retention requirements, after which it's securely deleted or anonymised.
8. Keeping your information secure
We apply reasonable technical and organisational measures to protect the personal data we hold against unauthorised access, loss, misuse or disclosure. No method of transmission or storage is completely secure, but we take proportionate steps appropriate to the limited, low-risk data this site collects.
9. Your rights
Under UK GDPR, you have the right to:
- Ask what personal data we hold about you, and get a copy of it
- Ask us to correct inaccurate or incomplete data
- Ask us to delete your data, where there's no good reason for us to keep it
- Ask us to restrict or object to certain processing
- Ask for your data to be provided in a portable format
- Withdraw consent at any time, where processing is based on consent
To exercise any of these rights, get in touch using the details in the "Contact us" section below. We'll normally respond within one month.
10. Children
This website and our services are directed at businesses, not children. We don't knowingly collect personal data from children.
11. Changes to this policy
We may update this policy from time to time — for example, if the information we collect changes, or if we start using cookies or a new third-party service. The "last updated" date at the top of this page will always reflect the current version.
12. Contact us and complaints
If you have any questions about this policy or how your data is handled, please get in touch via the contact form or at davidjohnson6781@gmail.com.
If you're unhappy with how we've handled your data, you also have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk.
